When writing a minutes, remember to put down the time the meeting started, the date and (day, year). Important discussion must be taken down, numbers of people in attendance too
PROCEDURE FOR WRITING MINUTES
OPENING PRAYER: This is for people who believe in praying and presenting the gathering and deliberation to God or whatever spiritual powers they belief controls the universe. Other people don't believe in praying. However, praying is important in our lives and what we do.
PRESENTATION OF KOLANUTS/OPENING SPEECH: Kolanuts or other form of little refreshment is to show appreciation and welcome and to make them relaxed. The opening speech is then taken by the chairman or precider of the meeting. The speech should be brief and expected to welcome members of the meeting formally.
MATTERS ARISING FROM THE PREVIOUS MEETING: It is expected to discuss important agenda of the last meeting if not harmonized or dealt with.
AGENDA FOR THE MEETING: This is usually the body of the meeting. Agendas are discussed one after the other with resolutions if possible or appointment of committees for assignment based on the discuss of the agenda.
A.O.B: This is known as ANY OTHER BUSINESS. This is the stage to discuss anything concerning the meeting or other things, general questions or suggestions. The response of matters on this stage is not expected immediately but to be referred to the next meeting as Matters arising.
ADJOURNMENT OF THE MEETING: This stage, a member is expected to move a motion for adjourning the meeting to a next seat and someone too has to support the motion and when this is done, the meeting has come to an end.
CLOSING PRAYER: Just as the opening prayer, a closing prayer is also expected. The time for the closing is taken down, the names of people who moved motion and supporter of the motion, the person who did the opening prayer and closing prayer are all to be recorded in the minutes
IMPORTANT ROLE OF MINUTES
Writing of minutes is important. It helps us as a guide in our dealings. It is used in different ways like tracking of progress, detailing future plans and serving as a reference point.It is made reference to when even in dispute or court as evidence of discussions, votes or whatever the issue that reflects in the minutes including resolution, appointment or impeachment.
It is good to have a proper minutes of a meeting incase things go "wrong", the minutes can become a reference point.
These are few notes I can make to support people here who are wondering how to learn about writing minutes.
Remember, the minutes of the previous meeting is suppose to be read at the next meeting seating.
